Annual Meeting FAQs

Q. Where will the meeting be held?

A. The Annual Meeting will be held Sunday, April 30-Friday, May 5 at the Hyatt Regency New Orleans in New Orleans, Louisiana.

Q. What is the registration deadline?

A. The regular registration deadline for the meeting is March 31. After March 31, late registrations will only be accepted online through April 28. Paper registrations by postal mail or fax cannot be processed after March 31. To obtain the best registration rates, plan to register by the early-bird deadline of February 17.

Q. How do I register after the late registration deadline, April 28?

A. After April 28, Annual Meeting registrations will only be accepted at the ARRS On-Site Registration Welcome and Information Center at the Hyatt Regency New Orleans in New Orleans.

Q. Do I need to register guests for the meeting? What does the guest fee include?

A. Yes, the fee is $99 per guest and provides entrance to the Connection Quad including lunches (Monday– Thursday) as well as all beverage breaks throughout the week. Guests are not allowed entry to areas where educational sessions or events are being held including the fee-based Categorical Course, the fee-based Case-Based Imaging Review Course, or the Reading Room. Guests are not eligible to claim CME, SAM, SA-CME, or ARLM credits and do not receive any educational materials. Individuals eligible for ARRS membership may not register as a guest and must pay the general registration fee.

Q. Are children’s programs or child care available during the meeting?

A. ARRS does not provide children’s programs or child care. Please ask your hotel concierge for a list of local companies that offer child care services. For safety reasons, security will be notified if children are left unattended in any of the ARRS meeting space areas or public areas of the hotel.

Q. Does my membership need to be current in order to attend at the ARRS member rate?

A. To receive the discounted member rate, which is a member benefit, your ARRS membership must be current at the time that you register for the meeting as well as during the Annual Meeting and through the time period the complimentary meeting recordings are made available to all meeting registrants. If your membership has lapsed or will lapse between the date you register and the final date the complimentary meeting records are made available to registrants, you must pay your membership renewal or pay the nonmember registration fee. A submitted registration form online, by fax, or mail serves as acknowledgement, acceptance, and agreement of this policy.

Q. Can I become an ARRS member to take advantage of registration savings?

A. Absolutely! Discounted meeting registration fees are a benefit of ARRS membership. If you plan to attend the ARRS 2017 Annual Meeting, apply for membership at the same time you submit your Annual Meeting registration form to ensure your membership status is confirmed and you receive the membership registration discount. If you want to join ARRS after March 31, you will need to bring your membership and registration paperwork to the ARRS On-Site Registration Welcome and Information Center at the Hyatt Regency New Orleans in New Orleans.

Q. Will I receive a registration confirmation?

A. Registration confirmations are emailed to registrants. It is important to provide your email address with your registration materials to ensure receipt of your confirmation and any updates regarding the meeting. Make sure the email address provided is set up to accept messages from ARRS so your Virtual Meeting communications do not go to a SPAM or junk mail folder or become blocked entirely.

Q. What is the cancellation policy?

A. Written requests for cancellation should be sent by email to meeting@arrs.org; by fax to 703-729-4839; or by mail to: ARRS, 44211 Slatestone Court, Leesburg, VA 20176-5109. Written requests for refunds received by March 20, 2017, will be processed after the meeting minus a $100 non-refundable cancellation fee. After March 20 2017, cancellations will be processed but refunds will not be issued. Cancellations will not be accepted by telephone. Refund requests of the $100 non-refundable cancellation fee will not be considered regardless of the registration category, amount paid, or when requested. A submitted registration form online, by fax, or mail serves as acknowledgement, acceptance, and agreement of these cancellation policies.

Q. Can I transfer my Annual Meeting registration to a Virtual Meeting registration?

A. Yes, you may transfer your Virtual Meeting registration record to an Annual Meeting registration record by providing a written request by email to meeting@arrs.org; by fax to 703-729-4839; or by mail to: ARRS, 44211 Slatestone Court, Leesburg, VA 20176-5109. Written requests received by March 31 will require a $100 nonrefundable transfer fee in addition to any additional virtual registration fees to make the requested change in the meeting registration record. Written requests received by April 21 will require a $200 nonrefundable transfer fee in addition to any additional virtual registration fees to make the requested change in the meeting registration record. After April 21, requests to transfer from the Annual Meeting to the Virtual Meeting cannot be processed.

Q. Can I add access to the Virtual Meeting to my Annual Meeting registration?

A. Yes, you may upgrade your meeting registration record to include Virtual Meeting access during the week of the Annual Meeting and pay the associated registration fees. The Virtual Meeting Access Upgrade gives in-person registrants flexibility in accessing courses during the week of the meeting. CME credit should only be claimed for sessions viewed either live at the Annual Meeting or in live-time through the Virtual Meeting. CME cannot be claimed twice for the same lecture. To add virtual access for the Categorical Course and/or the Case-Based Imaging Review Course, you must be registered to attend these courses in person at the Annual Meeting and pay additional upgrade fees for each course. Please note, after the Annual Meeting complimentary recordings will be available to all Annual Meeting attendees. Session recordings may be used as a reference to refresh knowledge gained in the live sessions and will be available from May 12–June 12, 2017. Additional credits cannot be claimed for watching these complimentary recordings.
